Stage 1 — Intake and image preparation

The contributor supplies the protected work together with identity and authority records. Atlantic establishes the controlled protected-work record and links it to the responsible account and documented authority.

Quality and completeness review confirms that the protected-work and authority record is sufficiently documented before monitoring or case progression.

Stage 2 — Search and occurrence review

Observed uses are linked to the protected-work record and reviewed against the visible context, chronology, authority, licensing history and preserved evidence.

The reviewed record can be classified as authorized, unresolved, requiring further verification or ready for documented case progression.

Stage 3 — Case building and recipient research

A case consolidates the relevant observations, evidence, authority, professional contact records, chronology and documented decisions into a traceable record for review and response.

Case progression follows documented human confirmation that the required record is sufficiently complete.

Stage 4 — Correspondence and secure response

Approved correspondence may invite clarification, request records, discuss licensing or prepare a platform-specific notice. A private recipient portal can receive licence evidence, factual corrections, objections or settlement-related responses.

Recipient statements are preserved and assessed against the documented case record.

Stage 5 — Resolution, payment and retention

Resolution may include closure without action, confirmation of authorization, correction, removal, licensing, settlement, referral to counsel or another documented outcome. Payment and payout records require independent verification.

The record is retained according to policy, legal hold, contractual need and applicable law. Permanent deletion is exceptional and controlled.
